Job Summary:
The Finance Assistant will support the day-to-day finance operations of the ATTA, working closely, with the Finance Officer and programs team.
Key Duties and Responsibilities:
Under the supervision of the Finance Officer, the Finance and Assistant will;
General finance responsibilities
Review/crosscheck all requisitions presented to finance alongside the approved budget limits. Ensure that all requisitions have the supporting /source documents including; LPOs, Contracts, Goods Received Note/Delivery Note, email initiations for service engagements, negotiations, and email approvals among others
Provide any feedback to the requisitioning officer/staff for redress any queries/omissions in the requisitions including rejected/unapproved requisitions
Upon RP’s approval of the requisitions, prepare the Payment Vouchers
Perform thorough review and verification of payment vouchers, supporting documents before processing payments.
Disburse timely payments to vendors, file all the payment vouchers systematically and chronologically in both hard and soft copy for easy retrieve.
Support the finance manager in capturing vouchers in the system.
Ensure procurement guidelines are followed for procurement of any general items and consumables. Ensure that all procurements are managed as per terms of reference, contract terms or any other binding document
Participate in the procurement committee meetings and together with members agree on the items and service providers to use under the project
Work in collaboration with programme team and other support units, provide guidance to proper use of various accounting templates.
Induct new staff about AgriTechTalk Africa accounting policy, requirements, and relevant supporting documents.
Ensure compliance with the government financial statutory requirements as well as donor requirements.
Regularly prepare monthly, quarterly and annual financial reports as required by donor and the ATTA financial guidelines
Support the development of budgets for the new proposals and preparation of financial information
Ensure monthly budget variance reports are prepared and shared with the Finance Manager and project budget Holders.
Maintain safe custody of petty cash float, cheque books, and vouchers, ensure there is always enough cash in the office, conduct periodic cash and bank reconciliation.
Thoroughly review and verify all petty cash payments vouchers for approvals and completeness before processing payment.
Administration Support
Organizing meetings by sending out notifications, meeting agenda, taking minutes and following up on all administrative action points.
Quickly responding to needs and requests through emails and phone calls.
Support the Office Driver in management of the transport function i.e. planning for journeys, ensure vehicles hired are in good condition and review of trip log books.
Support in proper filing and storage of all records for audit purposes.
Participate in staff meetings.
Qualifications, Skills and Experience:
Bachelor’s degree in Accounting and Finance or related field from a recognised institution
At least three years of relevant work experience in a similar role with an NGO.
Working knowledge of QuickBooks accounting package.
Excellent verbal, written, interpersonal, and presentation skills in English
Should demonstrable good understanding of finance systems and management
Should have understanding and experience in managing PAYE, WHT, NSSF, provident fund and URA tax compliance.
Ability to work under pressure to be able to meet strict deadlines
Strong team working skills and ability to develop and maintain effective working relations at all levels both within and outside the team.
