International Community of Women living with HIV/AIDS East Africa is a regional advocacy network and membership based organisation. ICW Eastern Africa exists to give visibility to women living with HIV in Eastern Africa. ICW Eastern Africa believes that gender inequalities and the lack of sexual & reproductive health & rights for women are at the heart of the HIV epidemic.
Job Summary: The Finance Assistant will render support in financial management to ensure accurate, timely financial information, and effective utilization of organization financial resources.
Key Duties and Responsibilities:
1. Accounting, Finance Payments and Grants Reporting:
Regularly analyze and prepare timely & accurate financial reports for decision making.
Keenly analyze and circulate monthly, quarterly, semi-annual and annual management reports.
Regularly review donor reports as per specific donor contract requirements and ICWEA requirements.
Prepare and submit monthly, quarterly and annual reports to Finance & Administration Manager.
Updates and maintains accounting records by making copies, filing returns and data entry
Render support in the preparation of the year-end audit schedules for the accounts.
Provide leave cover for the Finance &Administration Manager pertaining to accounts and record keeping needs
Prepare and submit monthly PAYE, withholding tax payments and other statutory requirements.
2. Annual Plans and Budget control & Monitoring:
Offer technical support in the preparation of annual and quarterly budget forecasts
Consolidate budgets and annual cash flows
Regularly review budgets to ensure that they are consistent with the guidelines, realistic and in line with ICWEA’s strategic plan
3. Treasury Management:
Regularly review and consolidate ICWEA cash remittances
Keenly review cashbooks/petty cashbooks and ensure that there are sufficient funds to run ICWEA activities
Maintain and update bank correspondence files
4. Projects and Grants Management:
Render support in the development of project proposal budgets to ensure that they are realistic and in line with the activities in the proposal
Review progress financial reports, accountabilities, donor funding matrices
Prepare bank reconciliations
Support project closure activities with financial information to aide in evaluation
Keenly review accountabilities submitted by Programme teams
Qualifications, Skills and Experience:
The applicant should preferably hold a Diploma in a Business and accounting related field;
At least two years’ relevant work experience in an NGO setting
Significant experience in programme and projects financial management
Good communication, report writing, analytical skills and proficiency in use of Computerized Accounting Systems
Proven ability to meet deadlines and handle diverse tasks simultaneously using prioritization
Excellent presentation skills
Project management knowledge
Working knowledge of book keeping practices and principles
Knowledge of Grants management and Capacity development
Skilled in performance management
Good budgeting and budgetary control skills
Working knowledge of resource mobilization and monitoring
Good documentation, information management and reporting skills

Good negotiating and persuasive abilities
Good planning and organizational skills
