Administrative Assistant – Kampala – Kampala Hospital

Kampala Hospital is a privately owned hospital that was established in 2007. Our mandate was and is to bring non-existent services to the countries that were often sought by many people who frequently moved abroad to seek quality medical care.

Job Summary: The Administrative Assistant will oversee all Outpatient Department (OPD) activities and to ensure the smooth running and efficiency of the admissions and OPD care for patients. As an OPD Coordinator, you also serve as the link between the outpatient and inpatient services of the hospital.

Key Duties and Responsibilities:
The incumbent will manage front desk.
Handle any customer care issues that may arise, soliciting the relevant team’s help where necessary
In charge of guiding patients to the waiting room
In charge of locating patients’ medical records from the filing system
Responsible for filing medical records when the doctor or nurse has finished with them
Arranging future appointments for patients
In charge of creating files for new patients and making sure records are filed in the right place
Opening and dealing with incoming mail, and filing it if necessary
Dealing with a range of telephone calls from patients and taking messages for doctors, nurses and other healthcare staff
In charge of ordering and maintaining stationery supplies in the reception area
Recommend improvement and upgrade of systems where necessary and implementing such systems with the approval of the HRM
Regularly check on patients in the waiting area and keeping track of the progress of treatment
Ensure that the waiting areas and work station are tidy and well-arranged. This includes ensuring that furniture and equipment if not moved from the respective areas
Highlight any short falls (e.g. loss of cards, long waiting times, etc.) that may affect the quality of service or efficiency of systems to the Team leader reception so as to improve customer satisfaction.

Qualifications, Skills and Experience:
The Administrative Assistant should preferably hold a Bachelor’s Degree in any related field and in depth knowledge of Customer care
At least three to four years’ experience in a hospital environment is an added advantage.
Excellent communications skills (Written, Oral & Presentation)
Computer literacy skills i.e. proficient in MS Office (High Level)
Fluency in English
