Job Description
Job Purpose: To provide overall administrative support to the Human Resource Department.
Key Responsibilities:
• Prepare employee contracts, confirmation, and ensure timely renewal of contracts
• Ensure that clear job descriptions of all the staff are in place and up to date
• Manage staff leave in collaboration with the heads of departments
• Conduct new staff’s induction according to the client’s Induction Policy
• Ensure that staff evaluation are done by the different supervisors, follow-ups are made and all grievances that might arise are handled.
• Oversee organization Human Resources activities including but not limited to ensuring that all local staff matters are handled in line with the HR Policies.
• Manage the recruitment process for staff, including but not limited to:
• Developing Job Descriptions for review by the HRM
• Ensuring proper advertisement of positions
• Communicating and following up with candidates as needed.
• Create and update the employee database.
• Any other duties as assigned by the HRM
Key Performance Indicators
This job will be considered satisfactorily performed when:
• Staff performance appraisals are completed and summary report is submitted by the 10th of every month for monthly appraisals and Bi annual appraisals are submitted by the 5th of June and 5th January for the first and second halves of the year respectively.
• Revised personnel policies and procedures are in line with enacted laws and best practices.
• Records on disciplinary committee meetings are readily available when requested.
• Employees are fully oriented regarding their rights as employees.
• Confidentiality of staff personnel files and records is maintained accurately and all instances of access to staff
Qualifications
• The individual should be a degree holder in a relevant area, with two (2) years relevant working experience in human resource and staff development.
Skills
The individual should be a dynamic person with an outgoing personality and should have the following skills:
• Knowledge of the Uganda Labor Laws
• Good interpersonal, communication and reporting skills.
• Word processing skills
• Good knowledge in use of HRMIS
• Ability to work under pressure and to produce results in short timelines
