Personal Secretary – Kampala – Uganda National Meteorological Authority

About US:
Uganda National Meteorological Authority (formerly Department of Meteorology) under Ministry of Water and Environment is a semi-autonomous government authority for weather and climate services (UNMA Act. 2012) and a focal institution to Inter-Governmental Panel on Climate Change (IPCC), an international body mandated to carryout scientific research on climate change.

Job Summary: The Personal Secretary will be tasked to provide timely secretarial and administrative support to the Executive Director, Heads of Directorates and occasionally the Board of Directors.

Key Duties and Responsibilities:
Maintain a diary and manage the Executives’ schedules
Read and analyze incoming memos, submissions and reports in order to determine their significance and plan their distribution
Maintain an orderly and well organized office
Cordially welcome and manage all visitors appropriately with good customer care
Prepare notes, correspondences and reports using a variety of computer software packages
File and retrieve corporate documents, records and reports
Responsible for facilitating management meetings, workshops, conferences, and attend meetings in order to record minutes
Ensure safe custody and delivery of confidential documents
Set up and oversee administrative policies and procedures
Facilitate communication between senior management and other staff as well as external individuals or other visitors,
Make travel and accommodation arrangements
Actively monitor and maintain the stationery
Perform any other duties as assigned by the Supervisor

Qualifications, Skills and Experience:
The ideal candidates for the Personal Secretary vacancy should hold an honors Bachelor’s degree in either Secretarial studies from a recognized University.
Past experience in a related field from a reputable organization is an added advantage.
The applicant must have a typing speed of 50/100 in typing and ability to take shorthand
Excellent written and verbal communication skills
Skills in record Management
Keen attention to detail
Excellent interpersonal skills
