Job Description
The job holder shall have the following responsibilities:
Compliance:
• Always adhere to the values and principles of the Company Code of Conduct.
Be conversant / comply with Uganda Legislation, Company Rules, Procedures, and Instructions. Ensure full compliance with SOX standards with respect to system security and reporting.
HSE:
• Demonstrate personal commitment to the HSE Policy.
• Promote safety awareness at all levels within frame of responsibility.
• Ensure proper and effective internal controls and safety standards are in place within the domain of responsibility.
• Active promoter of the 12 Golden Rules as well as actively participates in Company Safety awareness campaigns.
Planning, Procedures and KPIs:
• Lead and suggest resources definition for associated activities:
o Monitor and optimize related to the activities cost of logistics operations.
o Implementation of the required processes to ensure continuous improvement (e.g., SAP transaction etc.);
• Understand, apply and review/propose improvement for operational procedures as per Company rules and standards;
• Follow-up the KPI’s indicators; participate in the definition, implementation and monitoring of action plans.
Operational Leadership & Continues Improvement:
• Openly question established practices to achieve continuous quality and cost optimization improvements.
• Identify and adopt creative and alternative approaches to problem-solving and encourage others to do the same.
• Promote the waste management “5R principles” hierarchy, i.e.: Reduce, Recover, Reuse, Recycle, Residue disposal;
• Optimize the resources and operations in line with the 3C principles and LEAN methodology.
• Participate in the required audits.
Operations:
• Main accountabilities:
o To ensure that all stock items and their parameters are set to optimum levels avoiding over stock as well as zero stock;
o To ensure physical stock replenishment and availability in accordance with parameters.
o To guarantee the accuracy and the updating of the stock database.
o To ensure that Financial and Physical stocks match each other.
o To identify, recommend and participate to all optimization actions in relation to stock (cost avoidance saving, stock reduction, optimization of stock level, etc.).
• Main Missions:
o Coordinates with Technical Administrators (TADM) for correct data input in Material Master Forms (MMF) ensuring to comply with group recommendation (short / long descriptions, classification, etc.) and to have HSE and QA/QC requirements embedded
o Ensures consistency & quality of SAP Material Master creations for all materials (Stock items and non-stock items) and support Key User for material management in SAP and BW.
o Manages planning for stock materials replenishment, to ensure availability for operational requirement, to avoid shortage of material, to optimize stock level and to reduce surplus.
o Controls the various returned materials from drilling activities and liaises with Finance and TADMs for reintegration.
o Works closely with Warehouse to check physical inventory against SAP on regular basis, identifies any discrepancy and launches corrective actions promptly.
o Coordinates with TADMs for replenishment of material proposed by Material Replenishment Planning (MRP) in SAP for material optimization, cost avoidance and stock saving.
o Initiates and coordinates with TADMs for dead stock reduction regularly.
o Assists Partners’ Inventory Audits at the warehouses.
o Manages all C&P stock transactions in SAP.
Methods:
• Report any anomaly in the process and/or system to the end user(s) and/or to the Stock Controller;
• Ensure corrective measures are proposed and implemented;
• Attend and contribute to Service Quality Meetings (SQM);
• Participate in all stock related activities (audits, stock counting etc.).
Personnel Management and competencies development:
• Maintain and demonstrate own competency through LSO CAP (Competency Assessment Programme);
• Whenever required, act as a coach.
Reporting and Investigation:
• Prepares daily, weekly & monthly stock reports and any other ad-hoc reports when requested by the management.
• Maintain records and statistics to ensure accurate reporting, follow up KPIs and CPIs related to the associated activities;
• Ensure line management kept informed on relevant issues which could affect safety, operational and commercial aspects of the operations.
Qualifications and required experience
Qualification:
• Bachelor’s degree in Logistics discipline or equivalent
Experience:
• 5-7 years’ experience in operational Logistics and Supply Chain (Drilling, Seismic and Construction) with strong knowledge in Oil and Gas industry including 3-4 years’ experience in stock analyst / warehousing field, supervisory experience as a plus.
• An analytical mind, organizational rigor, capabilities to demonstrate good leadership within a team; ability to adapt, to analyze problems and communicate with many entities.
• Ability to work on own initiative, remaining self-confident and solid under pressure, demonstrating logical thought patterns, high degree of organizational ability and be an effective communicator at all levels.
• Advanced level of computer legacy and previous experience of computerized stock systems is essential.
• Advanced Knowledge of SAP MM (Material Management Module) would be an advantage
