Job Summary:
The Administration Officer will mainly develop and guide the implementation of processes and procedures for the provision of Administrative services for the smooth running UNOC business operations.
Key Duties and Responsibilities:
Develop, implement and monitor administrative and facility management policies and procedures.
Develop terms of reference, bills of quantities and specifications for works, services and supplies related to administration and facilities management.
Prepare annual budgets for administrative support effectiveness.
Prepare operational plans for the management/supervision of the offices’ central services such as utilities, cleaning, waste disposal and parking.
Coordinate repairs and maintenance issues for general services including but not limited to office block repairs, air conditioning servicing, telephone system servicing, carpet cleaning, painting, office fumigation, furniture and fixtures repairs etc.
Plan and implement best practice processes to increase administrative operational efficiency including developing and proposing cost reduction and space optimisation initiatives.
Effectively manage contracts and vendor relations related to administrative support and facilities management.
Ensure smooth movement of office items and equipment within the office premises.
Prepare periodical reports relating to the scope of administrative support role.
Perform any other duties as may be assigned.
Qualifications, Skills and Experience:
The applicant for the Uganda National Oil Company Limited (UNOC) Administration Officer job placement must hold an honours bachelor’s degree in either; Business Administration (Management Option), Social Work & Social Administration, Social Sciences, Facilities Management, Office Management or other related field.
A minimum of three (3) years’ relevant work experience.
Knowledge of health and safety requirements for office management will be an added advantage.
Knowledge of procurement laws/regulations and contract management will be an added advantage.
Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel).
Must have excellent communication skills (verbal and written).
Must have excellent people relations skills.
Must have excellent organizational skills.
Excellent report writing skills.
