Job Summary:
The Administrator is responsible for managing 32° East’s daily operations, including overseeing the budget and logistics of our 32° East’s programmes and projects. This role is key to ensuring that 32° East meets the expectations of provides comprehensive support to 32° East’s staff and artists day-to-day operations and will assist the Director.
This job description is a guide to the nature of the work required of the 32° East Administrator. It is not wholly comprehensive or restrictive and does not form part of the contract of employment.
Key Duties and Responsibilities:
General
· Serve as first point of contact for all members and visitors to 32° East
· Manage and increase the effectiveness and efficiency of library and finances through improvements to each function as well as coordination and communication between support and business functions;
· Development of individual programme budgets in consultation with the team;
· Regular meetings with Executive Director around monthly budgets;
· Coordinate members’ cooperative workshops;
Financial Management
· Manage day to day processing of petty cash;
· Liaise with the bookkeeper to reconcile monthly activity, and fulfill all URA requirements;
· Assist Director in monitoring cash flow;
· Manage grantor contracts and reimbursement requests;
Organizational Effectiveness
· Oversee the maintenance and repair of equipment;
· Maintain and update 32° East’s filing system;
· Oversee overall upkeep of the office and grounds;
· Handle all logistics for artists in residence and international guests, including transport and accommodation;
· Take staff meeting minutes and manage meeting archives;
· Ensure library equipment is in working order; and supporters;
· Maintain library’s digital archive and ensure its accessibility;
· Manage stock of office supplies and resources and handle purchasing;
· Maintain and update an effective database for 32° East’s members, partners
Qualifications, Skills and Experience:
· The ideal applicant must hold a Bachelor’s Degree in Business Administration, Accounting or related field
· Three years of work experience in administrative role
· Excellent attention to detail
· Highly organized, with a knack for improving processes
· Personable, with experience of working in collaboration with peers and institutions
· Excellent communications skills, both written and verbal
· Proactive, a natural at following up
· Must be eligible to work in Uganda
· Experience of working in a small-scale arts organization
· Demonstrable knowledge of the Ugandan, East African and International art scene.

32° East offers a competitive compensation package, a 2-year contract with potential for performance-based contract renewal, a dynamic work environment, and opportunities for professional growth.
24 months fixed term contract, starting March 2021
Hours of work: 09:00am – 5pm with one-hour lunch break
The hours worked may require evenings and weekends
The period of notice is two months in writing
Probation period: 6 months
