Grants Quality and Compliance Coordinator – Kampala – Plan International

Job Summary: The Grants Quality and Compliance Coordinator supports the Plan Uganda team in compliance management, quality assurance and coordinates the reporting function for all grants in the portfolio. He / she manages the grants’ database, filing and archiving.

Key Duties and Responsibilities:
· The incumbent supports proposal grants making processes to ensure that proposal development events are well coordinated, held on time and that all key departments are represented in the process in line with Plan Policies and procedures.
· Support organization of grant start up workshops ensuring that all departments are notified on time and key documentation shared to make meaningful contribution to the process.
· Update the grants reporting schedule on monthly basis to make sure that all project deliverables are captured and remind grants staff on when the different reports for their projects are due in line with donor requirements to ensure timely preparation and submission to National Offices and donors
· The incumbent will receive grants periodic reports from the Program Support Team as the first key contact in grants, technically review the reports and give feedback to the teams as may be required and make sure these are submitted to the compliance Specialist on time for submission in line with donor reporting requirements.
· Ensure that project teams are oriented on the use of the Plan International Uganda writing style guide and they work with this tool to support delivery of good quality reports
· Make sure that key project documents generated by grants teams during implementation are submitted to the grants unit and effectively filed away in a timely manner.
· Manage the filing and archiving function in the grants unit through posting and managing information on the “G” drive and hard copies on grants files.
· Update and maintain the grants database and regularly share updates on the grants profile as may be required.
· Communicate regularly with Project Managers/ coordinators to keep them up-to-date on project successes and challenges at compliance level.
· Ensure that at project closure, all key documents are completed by the times and effectively filed away.
· While reviewing project report, make sure they capture and report on the risks identified at design to ensure effective risk management.
· Ensure Child Protection issues are fully considered and addressed in all grants
· Perform any other duties as assigned by the Compliance Specialist

Qualifications, Skills and Experience:
· The applicants for the Plan International Grants Quality and Compliance Coordinator vacancy should preferably hold a Bachelor’s degree from a relevant filed -Social Work and Social Administration, Development studies or Social Sciences
· At least three years’ experience, two of which in a non-profit and/or international organization;
· Accounting knowledge is an added advantage.
· Excellent writing and communication skills, especially English.
· Excellent coordination and networking skills
· Good information management skills
· Computer literacy i.e. proficiency with business software applications (i.e. Word, Excel, PowerPoint, Outlook, etc.).
· Excellent interpersonal skills and Self-driven
· Ability to be structured in a flexible environment.
· Works effectively with deadlines
· Strong work ethic with excellent attention to detail.
· Honest, ethical and pleasant manner with positive, can-do attitude.
