Human Resource Officer – Kampala – UAP Insurance

Job Summary: The Human Resource Officer will be responsible for the effective co-ordination and administration of human resources and administrative functions including recruitment, reward and recognition, welfare and procurement

Key Duties and Responsibilities:
1. Recruitment and Selection:
Updates and maintains an appropriate electronic databank on all applications received to facilitate efficient and expeditious sourcing of prospective CVs whenever necessary
Supports in the preparation of job vacancy advertisements for placement in the print media
Conducts routine assessment and shortlist of applications
Schedules interviews, invites candidates for interview and whenever appropriate participates in the interviewing process
Arranges for medical examinations for selected candidates
Whenever appropriate, prepares and discusses letters of offer with selected candidates
Works in liaison with Departmental Secretary to ensure that all the necessary documentation for each new employee is promptly filed in their personal files
Actively participates in conducting orientation and induction training for new staff
Monitors performance of new staff, within the grades falling within her jurisdiction, serving probation period, and liaises with departmental heads in respect of their confirmation to permanent employment

2. Grievance and Disciplinary handling:
Offers guidance and counselling services to staff in appropriate grades in respect of personnel policy, career development, interpersonal relations, etc
Provides guidance to first line management in respect of handling disciplinary issues in accordance with Company personnel policy
Listens to and endeavours to resolve grievances and complaints from staff as will be brought to the attention of the HR&A Department from time to time
In charge of monitoring staff motivational levels and advising management on trends thereof through maintaining a record of observations, suggestions and complaints received from staff

3. Corporate Policy and Communications:
Actively participates in the regular review and update of corporate manuals and brochures
Co-ordinates the preparation, execution and secure storage of Company contracts and leases
Actively participates in the production of the in-house magazine, including sourcing and editing articles, preparing and publishing of dummies and liaising with printers to ensure prompt and high quality production of issues
Processing all the placement of the Company’s official Congratulatory Message in newspaper supplements sponsored by clients and business partners as approved from time to time

4. Staff Records:
Supports departmental heads in the preparation, review and update of job descriptions for various jobs as required from time to time
Maintains an up-to-date record of job descriptions for the relevant staff grades within the Company
Maintains and updates personnel records and data in confidential personal files as well as within the HR information management system
Ensures the maintenance of strict confidentiality in the handling of employee records
Receives and processes leave application forms
Maintains and regularly updates record of staff leave balances, ensuring that appropriately authorized leave forms are filed in the relevant personal files
Works in consultation with departments about preparation of and adherence to annual staff leave plans

5. Supervisory Duties:
Actively monitors the operations of the dispatch office and office support services at the switchboard, receptions, kitchen and messengerial services to ensure high quality customer service
Ensures the maintenance of high standards of discipline among office support staff
Conducts performance appraisal interviews for staff directly supervised and monitors achievement of performance targets
6. Staff Welfare:
Actively co-ordinates the provision of appropriate administrative services such as transport, refreshments, and sports equipment, during staff sports activities
Guides on appropriate indoor games to be introduced within the premises, and institutes strategies to promote popularity of these initiatives among staff
Co-ordinates the administration of the staff medical scheme including dealing with staff queries and concerns as well as liaising with medical service providers about their services and settlement of their accounts in respect of services rendered.

Qualifications, Skills and Experience:
The applicant should preferably hold a Bachelor’s degree in relevant field
Professional Qualifications desired
Also, he / she should hold a Diploma in HR
A minimum of three years’ experience in managing retail operations
