Office Manager – Kampala – Q-Sourcing Limited

About This Job:
Our client is a manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Rwanda and Southsudan. They are are looking for a Office Manager to work at their Kampala Office.

Job Summary
This role will be responsible for facilitating the efficient functioning of the office through a range of administrative, clerical, financial and managerial tasks

Main Tasks:
i. Finance tasks
Assist with preparation of the budget
Establish and maintain cash controls
Establish and maintain supplier accounts
Processes supplier invoices
Maintain the purchase order system
Ensure data is entered into the system
Prepare monthly financial statements
Prepare quarterly reports and report on variances
Assist with the annual audit
Maintain the computerized accounting system
Maintain financial files and records
Issue, code and authorize purchase orders
Reconcile the accounts payable
Prepare journal summaries
Reconcile the accounts receivable
Compile source documents
Issue receipts
Reconcile weekly deposits

ii. Office Administration
Design and implement office policies and procedures
Oversee adherence to office policies and procedures
Order office supplies
Manage the repair and maintenance of computer and office equipment
Maintain booking registers
Prepare operational reports and schedules to ensure efficiency
Co-ordinate schedules, appointments and bookings
Monitor and maintain office supplies inventory
Review and approve office supply acquisitions
Handle customer inquiries and complaints

iii. Record keeping
Design and implement filing systems
Manage the filing, storage and security of documents
Ensure filing systems are maintained and current
Establish and monitor procedures for record keeping
Ensure security, integrity and confidentiality of data

iv. Management
Allocate available resources to enable successful task performance
Co-ordinate office staff activities to ensure maximum efficiency
Evaluate and manage staff performance of the Office Accountant
Organize orientation and training of new staff members
Coach, mentor and discipline the Office Accountant
Analyse and monitor internal processes
Implement procedural and policy changes to improve operational efficiency
Manage internal staff relations
Maintain a safe and secure working environment

Key Qualifications/Experience
Business degree or equivalent
Knowledge of accounting, data and administrative management practices and procedures
Knowledge of clerical practices and procedures
Knowledge of human resources management practices and procedures
Knowledge of business and management principles
Computer skills and knowledge of office software package
