Job Summary:
The Project Administrator (PA) will mainly ensure effective implementation and management of project activities. The administrator shall support the timely delivery of project management team objectives and shall be the contact point for all aspects of the project.
Key Duties and Responsibilities:
Support the development and maintenance of an effective administrative and reporting environment that facilitates the achievement of the Project’s goals and objectives.
Support the Project Coordinator and Component Coordinators in the administrative management of the PMU.
Managing and monitoring of PMU resources, equipment and systems such as personnel, vehicles, laptops and reporting tools/systems to ensure proper and optimal utilization.
Ensure that monitoring reports, correspondences, progress reports, minutes of meetings and all key deliverables are prepared, produced and submitted within the agreed format and timeframe to the required.
Provide administrative support to the project management team and assist in coordinating the deliverables of the consultant and contractor to ensure all activities are harmonized
Attend and assist in the coordinating/facilitating of meetings of designated activities under each component in the project workplan such as workshops, launches, commissioning and other project activities.
Secure and maintain records/files.
Undertakes administrative duties such as preparing correspondences for internal and external stakeholders; assistance in the development and implementation of project workplan; maintain an efficient filing system; assist in the preparation of monthly and other periodic reports; draft responses to correspondence as directed; prepare letters, memoranda, agendas, facsimiles; assist in the coordination of Project activities and coordinate project reports etc.
Performs other related functions assigned from time to time by the head of department.
Qualifications, Skills and Experience:
The applicant must hold a Bachelor’s degree in Business Administration.
A minimum of eight (8) years of experiences in a similar assignment.
Post Graduate Diploma in Project Management or Monitoring and Evaluation is desired.
Master’s Degree in related field will be an added advantage.
Demonstrate good communication skills
A good command of IT applications
Ability to multi-task and work with limited supervision
Experience in the energy sector will be an added advantage
