Job Summary: The Project Management Office Coordinator will be responsible for providing assisting in the management and supervision of key initiatives and programs supporting the strategic objectives of the organization, particularly around standardization, accreditation and business processes. The incumbent will also support Quality Assurance with regard to Processes, Documentation and support to customer satisfaction initiatives. The role holder will work closely with Delivery Heads and Project Managers in providing the full Project Delivery lifecycle, maintaining records and providing regular and ad-hoc reporting.

Key Duties and Responsibilities:
1. Documentation:
Responsible for central custodianship, documentation, archiving and keeping of all project records through various tools and mediums in place
In charge of the documentation repository management for all projects.
Maintain and update the employee list, profiles, structure, travel docs, CSS.
Works closely with the Bid team in providing documents required for tenders.
Serve as the major point of Contact on sales handover and review of documentations process

2. Client Helpdesk Management:
Keenly track issues reported,
Actively monitor severity and turnaround times of issues reported
Talk to clients and understand satisfaction level;
ATS clients support requests coordination and ensuring issues are closed using the support mail services and helpdesk system.
Coordinate PTMS system and review of global status, utilization and project accounting

3. Project Management/Tracking Coordination:
Managing a time reporting system
Managing time entries of the team
Establishing correct project/task codes
Ensuring appropriate project set-up for financial reporting, etc.
Real time project adjustments and alterations.
Provide Back-end support for division on daily tasks issues including supporting in the recruitment process by raising RRFs etc.

4. Training Coordination:
Global Training coordination
Publishing and Executing Training plan monthly
Maintain and update Delivery skills matrix, certification plan and talent map for ease of resource allocation
Works with HR (Learning and Development) as the point of contact for coordination of Training within the Division.

5. Analysis and Reporting:
MIS report on helpdesk showing open and closed issues
Issue aging analysis
MIS reporting to management for all projects status, resource allocation
Analysis of project profitability and resource utilization for projects
Project health reporting, metrics and KPIs
Actively coordinate in the updating of unbilled milestones report for finance
Guide management on expiration dates for ATSs or overshoot of hours after addressing gaps with Delivery Heads on ATS clients’ hours
Coordinate collection of allocation trackers globally from respective heads, review and share to management.
6. Travel Coordination:
Actively coordinate all divisional / departmental travels
Liaise with Administration Division where necessary for visas acquisition
Maintain of project travel tracker vis a vis cost sheet
Guide management of non –budgeted travels raised for approvals prior the travel or project travels are completely used up.
Prepare travel plan and share to Finance and Administration team after collection from Deliver Heads

Qualifications, Skills and Experience:
The Project Management Office Coordinator should preferably hold a Degree in computer science, or business related field
A minimum of two or more years working experience in a Project Management /Project Analyst environment as well as understanding of the principles and frameworks of successful project management from a support perspective.
Computer literacy skills i.e. Proficiency in Microsoft Office, Project, and Publisher
Possess excellent communication (written and verbal ), Interpersonal and Presentation skills;

Attention to detail
Broad awareness of how an IT organization works is highly desirable
Technologically savvy: should have vested interest in using the latest technologies, and is constantly seeking to expand knowledge base.
Adaptability to ambiguity and Time Management: Willingness and ability to learn and adapt fast in a fast-paced business environment
Team Player: Must be able to work in a team-oriented and collaborative environment as well as build strong relationships across board.
