Job Summary:
The Senior Human Resources Br Administration Assistant is responsible for providing HR and administrative support to the Human Resource function in line with URC policies and Guidelines.
Key Duties and Responsibilities:
Provide HR support through coordination of recruitment process such as advertising vacancies, collecting CVs, screening candidates, and setting up interviews for selected applicants with the relevant staff on the project.
Ensure support staff enrollment in local benefit plans staff i.e. medical and group personal accident insurance service providers as appropriate and follow up invoices for payment;
Provide support and follow up the timely submission of electronic and paper timesheets, and the timely completion and submission of Labor Adjustment Forms, when needed;
Maintain and update the project/personnel paper and electronic files. Keep files in an organized, orderly manner so that records can be referred to and deciphered clearly in the event of an audit or need for historical information.;
Maintain an updated leave management database;
Setup appraisal schedules with line managers for probation & annual appraisal and follow up the submission of the appraisals
Ensure Project vehicles have valid insurances; drivers have valid permits; insurance claims are timely processed
Identify and verify mechanical defects reported for vehicle repair and maintenance
Ensure effective management of inventory/stationary stocks and reconciliations in line with administration guidelines
Prepare and coordinate logistical arrangements for project staff travelling outside their region or for international visitors within the region;
Qualifications, Skills and Experience:
The ideal candidates for the Senior Human Resource & Administrative Assistant job must hold a Bachelor’s degree in Human Resource Management, Organizational/Industrial Psychology, Organizational Development or other relevant field in Human resources;
Three to five years of experience working in an NGO or business environment with demonstrated Human Resources Management experience and high level of responsibility and integrity;
Demonstrated ability to work in teams;
Ability to multi-task in a high-paced environment; demonstrated interpersonal arid teamwork skills with ability to lead multi-disciplinary teams;
Excellent organizational, oral and written communication skills;
Proficiency with MS Office Suite, with excellent MS Word and Excel skills.
