The Elizabeth Glaser Pediatric AIDS Foundation (EGPAF) seeks to end pediatric HIV/AIDS through research, advocacy, and prevention and treatment programs. We are a global leader in the fight against pediatric HIV and AIDS, working in 15 countries and at 7,000 sites around the world to prevent the transmission of HIV to children, and to help those already infected. Today, because of the highly successful work of the Foundation and its partners over the last 25 years, pediatric AIDS has been virtually eliminated in the United States and new infections in children have declined by 51% worldwide. EGPAF Uganda Country program is currently implementing a number of projects in partnership with various donors.
Job Summary: The Senior Office Administrator will support the Elizabeth Glaser Pediatric AIDS Foundation (EGPAF) in managing the day-to-day office operation, procurement /purchasing, transport/fleet management, asset & inventory management to ensure smooth running of the organization
Key Duties and Responsibilities:
Responsible for the management of procurement process and promotion of procurement best practices following donor regulations particularly USAID procurement procedures.
Support the administration team with the necessary guidance on how to organise workshops and trainings as well as management of both local and International travels.
Provide oversight and guidance on fleet management in a busy organisation which are not limited to records keeping and cost analysis of organisation expenditure on repairs and maintenance of vehicles and be able to advise management on vehicle usage and cost.
Provide oversight of organisations asset/ inventory stores and logistics management and proper tracking mechanisms for all assets, data verification and coordination of
In charge of the timely preparation of quarterly procurement plans, regularly track plans against actual procurements and provide management with the required reports.
Qualifications, Skills and Experience:
The Senior Office Administrator should possess a good University Degree in Business Administration or other related degree course. Professional qualification such as a post graduate diploma in procurement and logistics management, CIPS or an equivalent will be of an added advantage.
A minimum of five or more years’ working experience in a similar position, preferably with a USAID-funded agency or International Non-Governmental Organization.
Working knowledge of donor procurement rules and regulations particularly USAID is a must.
Prospective candidates should have experience working in a busy organisation.
Additional working knowledge in fleet management and store keeping is required.
Supervisory skills such as employee performance management and team engagement are critical for the position.
The candidate should possess the ability to identify team opportunities, development plans and achievements and act as liaison between operational staff and the senior management
Working knowledge of local languages will be an added advantage
