Administration and Logistics Assistant – Kampala – Good Neighbors

Good Neighbors is an international, non-profit humanitarian organization committed to child education, community development, and emergency relief projects in 30 countries around the world. We have fundraising offices in the USA, Korea, and Japan, and an International Cooperation Office in Geneva. Good Neighbors USA opened its Los Angeles office in 2007, which currently handles fundraising, donor management, volunteer programs, and marketing campaigns for all major projects. In December 2010, a Washington, D.C. office was established to network and partner with other organizations, as well as obtain grants from U.S. government agencies and foundations.

Key Duties and Responsibilities:
Logistics Support:
Build strong relationships with INGO/UN agencies and other Local Organizations in which activities, information and resources are being availed.
In charge of the maintenance and management of Good Neighbors Uganda Head Office and other projects’ safety run and secure condition.
The jobholder will develop a strong relationship with, and cooperate with project staff for their logistic needs and resource needs.
In charge of managing the office vehicle repairs, license extension, purchasing of the vehicle parts if necessary and making arrangements for field and business trips.
Responsible for managing office support materials such as stationary, office inventories, among others and coordinating transport arrangements during visitation to the project areas.
Provide and handle the procurement and timely arrangement of the procurement plan of Head Office and all projects’ needs.
Maintain complete and accurate expense records and reports of Good Neighbors Uganda Head Office and all other projects used for both Administrative and Logistic purposes.
The incumbent will prepare the standard contract agreement, Lease, Tender and Bidding systematically.
The Manage and control the warehouse items in / out, update the stock balance and develop the warehouse flow system.
Manage all problems and issues that emerge, as far as possible. If the issue goes beyond own mandate and / or resources, bring it to attention of the Good Neighbors Uganda Country Director, and Manager.
Prepare monthly Admin-Logistics plan and submit to Good Neighbors Uganda Head Office Country Director, and Manager.
The incumbent will prepare report concerning Admin-Logistics activities and submit to Good Neighbors Uganda Country Director, and Manager.
Managing all tax issues of the Organization which among others shall include but not limited to; Employees’ taxes, Social Security, Vehicle related tax issues, VAT issues, etc.

Qualifications, Skills and Experience:
The ideal candidate for the Administration and Logistics Assistant job opportunity should hold a good bachelor’s degree in Business administration, management, procurements, logistics, law or Human resource management from a recognizable university
At least two years’ experience
Familiarity with all basic computer programs (Microsoft office excel, word and power point)
The applicant should be familiar with all administration activities including taxation, labor laws and immigration processes
Good knowledge of logistics and purchase
